b. Lack of volume: obsessing with perfection and thus doing very little. What we love is a balanced picture. A large number of automations that utilize behavior data, but don’t go into extremes. A light-hearted attitude towards adding new campaigns. What camp do you belong to?

We see marketers suffer from these extremes in lifecycle automation: complexity and lack of volume. a. Unnecessary complexity: trying to predict every user step, going to the extremes with automation logic. Making mistakes, getting frustrated.

Between these costs, only the software fees grow as your user base scales. The rest are fixed (and much higher than the software). Why do teams focus on the software fees? Why do you purchase a $199/mo tool and consider it done? Or maybe the software should be more expensive?

What’s the real cost of lifecycle emails? ▪️ Software. Monthly recurring fee which depends on the user count. ▪️ Migration. Human hours to switch from your existing system. ▪️ Engineering costs for the integration ▪️ Content. Ongoing efforts to write and set up the workflows.

Top 5 tips for managing B2B email marketing (as someone asked today): ▪️Don't be afraid to email more ▪️Treat this as a process with continuous improvement/expansion, rather than a one-off project ▪️Be helpful ▪️Keep your messages short and focused ▪️DON'T OVERTHINK Simple, not easy.

Selling an ESP is like selling a mattress. A mattress is bulky, hard to replace, essential for your sleep. It's unlikely you'll rave about your mattress or post about it on social media. Replacing a mattress won't make you sexy/healthy/rich. It's just a mattress. It's just an ESP.

Here's exactly why consultants are paid to do their thing. Only a fraction of SaaS companies have dedication, resources, and knowledge to expand their lifecycle marketing in a systemic way. Also, who makes comments this long and awesome?

▪️ Throttle quarterly review calls (so that your calendar doesn't go insane). Use a calendar-based recurring trigger, then randomly split customers and assign different time delays for each branch. ▪️ Address a portion of your user database. E.g. for beta testing a specific feature.
000
Jane Portman @uibreakfast.com · 04/08/2026
But you can also use it to throttle and randomize other things in @userlist.com workflows: ▪️ Throttle early access. Use a trigger that would fire immediately for everyone who requested an invite. Create several branches, and assign different time delays.

Did you know that the Split Test node isn't just for A/B tests? It's a random group generator, splitting users into up to 5 paths at whatever percentages you choose. Split testing is the obvious use: create different user journeys, then compare using email metrics or conversion goals. Classic.

▪️ Reflect your brand personality ▪️ Set the context for future emails At @userlist.com , we have a “creative” onboarding sequence that takes the user on the adventures with Susie. However, our first email is still practical.
010
Jane Portman @uibreakfast.com · 03/08/2026
▪️ Acknowledge that the user started using the software, and include the website link (duh, but not everybody remembers this) ▪️ Deliver mission-critical information to new users. Include links to the docs, training videos, a quick start guide. ▪️ Be supportive

What makes a perfect welcome email? (hundreds of companies still obsess about a single email, while forgetting about the rest of their lifecycle) But seriously?

Newly added users are offered additional training to get up to speed. This workflow uses the "user joins a company" trigger and includes one simple email. Three weeks ago I did training session as a result of this email. Best automations stem from real cases.

This January we offered a review call to all paying customers, and most people who replied were newly added team members. They didn't know much about @userlist.com, or what's happening in their accounts. This blew our mind. So we set up a simple workflow (took me 15 minutes).
121
Jane Portman @uibreakfast.com · 29/07/2026
Do you have this in place? Or do you just leave your paying customers alone, as you think they prefer? (evil smirk)

Jane Portman @uibreakfast.com · 29/07/2026
"Now that I have user onboarding in place, what else can I do?" Your best next step is: a workflow for your paying customers. It runs at a slow pace (every 1-2 weeks) and combines educational content, feature nudges, and customer loyalty interventions (asking for referrals, reviews, etc).

My co-founder @uibreakfast.com and I are "recovering perfectionists". To remind us to not chase perfection for forever, we established "Better Done Than Perfect" as our mantra. It went as far as naming our podcast after it, creating merch with the slogan on it, and her getting a "b.d.t.p." tattoo.

Software companies overthink email marketing in the same way we overthink social media. A single post won’t impact your LinkedIn account. A hundred of them might. A single email won’t impact your growth. A hundred of them might. Zero emails… Safe bet. #bdtpblurbs #emailmarketing

Time delays in @userlist.com now support advanced calendar settings. E.g. the 10th of the month, the first Monday, or the second Tuesday in March. Now you can send messages related to billing cycles, monthly check-ins, or annual reminders landing on a specific day. Give it a try in your workflows.

Small but useful @userlist.com update from @benediktdeicke.com. You can now edit user (and company) properties manually from the profile page. Previously, this was done via integration sync. With this, Userlist can cover more of your CRM workflow, with custom fields editable on the spot. Woot 🙌

Want to know the main reason why we built this? Excel doesn't reliably recognize ISO 8601 formatted date/time values when importing CSV files. ISO 8601 has been around since 1988… 🤪

Small quality-of-life improvement. You can now export @userlist.com data in Excel format, in addition to the CSV format which was previously available. The file opens seamlessly in Excel for reporting or backups. Boom!

My favorite slide of @userlist.com's presentation about the past year for multiple reasons 😂
A white slide saying "Awesome work, team!" in a black serif font next to a black line drawing of a goofy character

We’ve added broadcast delivery throttling to @userlist.com. Control how fast a broadcast is delivered by sending it in smaller batches. This keeps delivery smooth for large audiences, and helps with sending anxiety. Give it a try in your next broadcast ⚡✍

We improved @userlist.com's reporting capabilities a bit 🎉 You can now get account-wide reports, as well as drill downs by type (broadcast, workflow, ...) 🔍 We also made the aggregates smarter. Depending on what period you look at, you either get monthly, weekly, daily, or hourly stats 📈

We're stoked to introduce account-wide Reporting features in @userlist.com 🔥 You can now access account-wide performance metrics and slice them by date, type, or specific workflow and message. Available to all customers starting from the Basic plan. Happy reporting 💛

In case you missed it. @userlist.com comes with a library of workflow templates. No, it's not AI. When creating a new workflow, choose one of the templates. You'll get a populated workflow. As easy as apple pie 🍎

Our integrations now have eyes 👀 @benediktdeicke.com asked me for a design system to generate images for @userlist.com integration pages and alternatives. It needed to be simple, but quirky. Couple hours later, and new integration banners get a pair of eyes, randomly picked from 12 options.

Super excited to finally ship this to everyone. While Userlist was able to store arrays since day one, using them in filters, conditions, or segments wasn't possible until now 🤩 The user interface even supports arrays of arrays, but not sure there's actually a good use case for that 🤣

New feature at @userlist.com 💫 You can now start workflows on a calendar schedule (daily, weekly, monthly, or yearly) using a Recurring Trigger. For example, you can send a reminder to your Paying Customers segment every Friday (see illustration). Happy triggering 😜

Did you know that @userlist.com supports array properties? (One of those things that make us an advanced platform.) For example, you can create a segment of users who have an active Stripe integration in their integrations list. The integrations array has both name and state [see illustration].
