Conditional Color in Notion can now be applied based of formulas - this adds A LOT of use cases to properly color code your system 😍

what's your favourite Notion AI workflow with the new agents? 🤔 working on a big use case round-up video this weekend 💪🏻 just heading back from Make with Notion in Munich, perfect time to work on a script 😇

For example, here's a screenshot from a travel plan that I had Notion Agent put together for an upcoming vacation 😍

The map view is now live in Notion! 😍 Simply add a location property, search for a place and have it render on an interactive map 💪🏻 Works amazingly well in combination with the new Notion agents!

(i.e. you could have contacts, companies & clients all in one database) but... should you actually use this? or are the downsides too big at this point? I mapped out how we will use this update to build Notion systems going forward
100
Matthias @matthiasfrank.de · 04/09/2025
Notion just dropped its new databases - probably the update with the biggest confusion potential of 2025? So... what's happening? Databases evolve to database containers Meaning you can now have multiple data sources in one database block
100
Matthias @matthiasfrank.de · 03/09/2025
Outside of that, it's not yet easily possible to switch data centers as a self-serve customer, but that's hopefully now just a matter of time 😇 checking one more thing of the bucket list before the big conference in a few weeks ... I wonder what they'll release there? 😎 Any guesses?

🇪🇺 EU Data Residency is here for Notion! 😍 This is a huge step forward for adoption in EMEA - really excited to see this! For now, access is still a bit limited unfortunately: - need to be on enterprise plan - need to have "sales assistance", i.e. more than 100 seats

Matthias @matthiasfrank.de · 29/08/2025
new Notion update: you can now move the comment section on pages below the content 💪🏻 To do so, go into the Database Layout Customisation menu and then choose the location 😇
010
Matthias @matthiasfrank.de · 29/08/2025
took me 5 minutes to create these custom radar charts for Notion... the future is bright 😍 Can you guess how? 😎
000
Matthias @matthiasfrank.de · 28/08/2025
I think I spend about 3 hours every day talking to AI at the moment how about you?
110
Matthias @matthiasfrank.de · 28/08/2025
That means you can't yet set group ownership and then have it inherit down to the individual "what's on my plate" pages. So for now, more of a nice-to-have than a workflow change But keep your eyes peeled 👀
000
Matthias @matthiasfrank.de · 28/08/2025
New Notion Update - you can now mention groups in people properties! 🔥 Love to see this small but meaningful change For now, the functionality is still a bit limited, mostly because the all-important "Me Filter" doesn't trigger based on groups.
100
Matthias @matthiasfrank.de · 27/08/2025
Because while you can't turn off certain AI features yet, AI will respect user permissions. So if the user can't make a change, AI won't make a change on their behalf. sooo... time for a security audit? 😅 is your workspace AI-ready?
010
Matthias @matthiasfrank.de · 27/08/2025
- aaand even change database structures (oh sh**) Already before this change, the first thing we did in every new client workspace was to make sure those security settings are correct. And now that users can also accidentally have AI make these changes, this is more important than ever.
100
Matthias @matthiasfrank.de · 27/08/2025
Now, what's the background? Notion AI is finally getting the skills to do things for you. it now can... - search through databases (finally!) - create new pages (pretty cool) - update page content (uh oh) - update database entries (... wait, really?)
100
Matthias @matthiasfrank.de · 27/08/2025
Your Notion might be at risk... (... and yeah, AI is partially to blame 😅) with the new AI features rolling out in Notion, we'll unlock A TON of cool use cases But if you work in a team, then this is your last chance to improve security before things get really messy

Matthias @matthiasfrank.de · 26/08/2025
I'm thinking about open-sourcing our brand new Notion Design Principles - the big picture approach of how we approach our client projects anyone who would be interested in that?

Matthias @matthiasfrank.de · 24/08/2025
How long until we can post screenshots like this with Notion-based agents? 😎

things like "calculate whether our OKRs are trending up or down based on the last 3 reports" or one of the classic "problems" of Notion formulas: how to calculate someone's next birthday (I'm serious - look for this on reddit, there are dozens of threads about this formula challenge)
100
Matthias @matthiasfrank.de · 22/08/2025
Sooo this just happened... my Notion started writing the most complex formulas for me 🤯 new update just dropped today and it's absolutely insane with just one line of prompt, it's able to one-shot really complex formula logic
100
Matthias @matthiasfrank.de · 22/08/2025
- and link the databases to each other it even added sample data to each database to that it's easier to visualise how the system would interact. absolutely crazy what Akshay & the team at Notion are building here
000
Matthias @matthiasfrank.de · 22/08/2025
I knew I needed a bunch of databases in Notion to track that... so I asked the new agentic Notion AI to set things up. One mega prompt. and then I just watched it... - set up a backend - add 5 different databases - create the required properties - set up smart views

Matthias @matthiasfrank.de · 22/08/2025
It's Friday! quick challenge: what was your favourite AI workflow this week? I'll start 👇🏼 had an amazing session with Jacob from Relay on how to set up a more robust content system for linkedin (plenty of amazing AI use cases in that one)
100
Matthias @matthiasfrank.de · 21/08/2025
Three databases for 90% of default workflows in any setup
000
Matthias @matthiasfrank.de · 21/08/2025
In fact, it's part of our "holy trinity of Notion databases" Tasks <> Projects <> Docs
100
Matthias @matthiasfrank.de · 21/08/2025
Plus, your overall remaining architecture will be a bit cleaner with this split
100
Matthias @matthiasfrank.de · 21/08/2025
The only reason to go for a single database setup here imo is when you really want to see a "continous waterfall chart" going from project to task to subtask
100
Matthias @matthiasfrank.de · 21/08/2025
So in 98% of cases, separated databases will be easier to handle for those two
100
Matthias @matthiasfrank.de · 21/08/2025
In case of projects and tasks, you typically have different properties to track one vs the other. Projects have an owner, maybe a team, a duration and can often have different status levels Tasks are usually more straightforward with a Due Date and an Owner
100
Matthias @matthiasfrank.de · 21/08/2025
The moment when you wanna start thinking about several databases instead of one is typically when 1️⃣ you need very different properties to indicate the relevant meta-information, or 2️⃣ when having several databases better represents the reality of your business.
100
Matthias @matthiasfrank.de · 21/08/2025
(it's one of the biggest traps people fall in with Notion early on - having tasks for project A, tasks for project B and so on...)
100
Matthias @matthiasfrank.de · 21/08/2025
As a golden rule, you wanna have as few databases in Notion as possible. Just like with writing software, you'd ideally want to have single global databases per object.
100
Matthias @matthiasfrank.de · 21/08/2025
The long answer would be "it depends." Here's a general process for how to think about databases in Notion:
100
Matthias @matthiasfrank.de · 21/08/2025
The short answer would be: Have separate databases for projects and tasks.
