I see people on LinkedIn 'debating' which is best: to run their CRM inside (eg within HubSpot or Salesforce or Zoho) or outside (eg from Claude or ChatGPT). Imagine if people had the same debate about laptop versus mobile. 1/4

Every app, domain, and streaming service you keep 'just in case' is a monthly tax on your attention, and attention is the only real inventory you run low on.

Cutting channels and tools feels like giving up growth, but it's actually removing the noise so the one thing that matters can finally get loud.

Ideas versus Perspectives It's unlikely people have an original idea, but it is likely they have - almost by definition - an original perspective if they share an observation of it. (Provided it's not a regurgitated AI slop summary of course.)

I saw a post the other day diagnosing common software platform implementation fails and one note was words to the effect of ‘they thought they were buying a destination, but discovered too late it was just a software purchase.’ 1/2

There is no permanent subsidy. Every golden age ends the moment the people paying for it decide they want a return. WeWork, Uber, AI - the names change, the pattern doesn't. If you're not planning for the post-subsidy version of your business, you're not planning. letters.craigbailey.com/p/golden

The word 'innovation' has become a shield for bloat, and the most useful products in your life are the ones that resisted the temptation to keep adding.

Om
This is going to sound cornier than a bucket of Jiffy-Pop, but it is a profound irony that a man with such a big and beautiful figurative heart could have such a lousy literal one.

Reminder: Sync properties are handy for keeping data updated across objects eg a Contact property is kept updated on associated Tickets (Total number of sync properties available in your portal depends on your subscription, and is combined with calculated properties. 40 in Pro, 200 in Enterprise.)

This is a total game changer! HubSpot now has a Priority property on Deals. You can use this to filter and sort in Views, to keep you focussed on the most important deals in your pipeline. This is insane! 🔥 OK, so obviously this isn't new (it's been there right from the start).

Quick reminder that you can easily set the Sort Order on Deal Views. Typical properties to sort on include: - Close Date - Last Activity Date - Priority Bonus: Sort order gets saved as part of the View as well.

This request came from a client recently - they wanted to see a list of their highest revenue clients over the years in HubSpot. Using Custom Reports and choosing the Pivot table option, this is reasonably straightforward. 1/2

Reminder: if you have an Enterprise Hub in HubSpot you can access a detailed Audit Log. For example: I like to check what kinds of things are getting Deleted or Archived in portals - it can sometimes highlight processes that need improving (eg users are having trouble creating things correctly).

Reminder: you can set the Default page that HubSpot navigates to after logging in. For me, this has always been set to Dashboards. But I’m close to changing it to be Marketing Home.

Reminder: you can create Tags that show against Tickets in HubSpot. Handy for highlighting VIP clients, or specific conditions to be aware of when providing support.

Reminder: you can view the size of a HubSpot List over time from the Performance tab And it's not just for lists that are increasing over time. eg this one show an engagement based list (site visit in last 10 days) - you can see the effect of campaigns (eg email) on the visits by contacts over time

Reminder: focus on what you can control. I originally prepared this slide as part of an All Staff presentation. But I've set a little reminder for myself. I find it useful to come back to it every few weeks. It doesn't take long for daily pressures to crowd us out mentally.

Reminder: you can easily Split lists in HubSpot. Ideal for when you need to be careful sending emails to a large list. You can create up to 10 smaller lists (I usually choose to Distribute equally).

Reminder: you can filter HubSpot Files by Type (eg just list Videos or Documents). Often documents are named similarly to images, and you're just trying to find the PDF - so filtering by Documents is handy. That's it. That's the tip.

Reminder: in HubSpot you can automatically set the initial Close Date on a new Deal. We usually recommend turning this on to clients, since Close Date is important for forecasting processes. Plus you can always set a default way in the future (eg 120 days) if unsure. 1/2

In the HubSpot Lead Scoring app you can use Associated Notes in scoring groups. Wondering if anyone has some good use cases for this that they've found helpful? (My screenshot is just a contrived example, I haven't actually used it in practice yet.) 1/2

Reminder: you can easily export your entire knowledge base content from HubSpot. It includes the full html as part of the export as well. (You can also easily import from other systems using the Smart copy option.)

A reminder about using Saved sections in HubSpot website pages, landing pages and emails. Handy way to capture a bunch of modules, save it into a Section, and then use on other pages.

Reminder: If you forgot to send your latest newsletter to some of your contacts, it's easy in HubSpot to Send to More people. Simply view the Sent email and choose the Send to More action. (Only with Regular emails, for Automated Emails you'd enrol extra people into the workflow.)

Reminder: If you're a Super Admin in HubSpot you can set a threshold for getting notified about exports from your portal. Set mine very low because I like to be notified for just about any export... so I can ask: Why are we exporting data? And to where? Why aren't we using an integration instead?

A reminder to check your Notification settings in HubSpot eg for Form notifications (Had a client last week who had missed all the Form submissions from prospects because they had turned off the Email toggle. Even though they were set in the Form settings to be notified.)

Yowsers! Reminder that you can check how terrible your emails will look for recipients who use dark mode. I started going through ours and needed a good lie down afterwards... or put another way: plenty of room for improvement!

Reminder: your HubSpot Meeting scheduling pages can allow adding guests. (This has been available for a while, but worth checking if you have old meetings and missed turning it on.) Also check: block specific email domains and free addresses (turn on as appropriate).

Many of the Themes in the HubSpot Marketplace already include import references to jQuery, so you don't need to double up by adding again in HubSpot Settings. Check with your Theme provider first, and then simply untick this (if it is on) if not needed. 1/2

Reminder Quick filters on Dashboards are really handy in HubSpot. (I wish we could add them to Reports.) Interesting behaviour: some Dashboards for clients just have a single Report on them, purely to use Quick filters. Users find them easier than Advanced filters.

Reminder that it's easy to copy out all the items in a HubSpot property list (eg a dropdown). Just use the 'Copy option labels' link in the Field type tab. Very handy for those 'Can you send me that list of options in our Industry dropdown please' requests.

Grouping properties into Cards (or 'sections') in HubSpot is useful for visual clarity: keeping users focussed (ie and avoid having to scroll down through a huge section of properties). 1/4

Reminder: 'editing' a Property in HubSpot and checking the 'Field Type' can be a quick way to report on results (eg if the property is used on a form) or on overall categorisation/segmentation (eg lifecycle stage, persona, industry, etc).

It's easy to remove pages from your XML Sitemap in HubSpot. For example, you'd probably want to remove Thank You (TY) pages. Simply hover over the entry and remove. (You can also set frequency and priority options.)

Reminder that you can easily switch pages between Landing and Web Pages in HubSpot Content Hub. The differences between them are minor these days (slight reporting changes, and XML sitemap entries) - we're tending to create most as Web pages now. 1/2
