Why can Grist secure a spreadsheet when Excel can't? | Grist
Why is it hard to secure an Excel spreadsheet? Because locking down a file that holds sensitive data doesn't work. You need governed structure.

A database can't do this. The email belongs to the record, not a spot on a grid. Sort it, filter it, flip it around — the field never leaves its row. In Grist, that isn't a mistake you can make.

497 people applying to immigrate got someone else's letter: names, addresses, and the fact that they'd applied. A spreadsheet keeps a person and their email together by pure luck: two cells sharing a row, nothing binding them.

I was researching spreadsheet security incidents and found an unexpected one: a column sort that leaked immigration data. In 2024, an employee at Canada's immigration department sorted a spreadsheet but only filtered 11 of its 12 columns. The email column stayed put. Everything else moved. So...

So what actually keeps data from someone? Not hiding it. In Grist, if you're not allowed to see a column, it isn't hidden from you, it's never sent to you. The server filters it out first. Nothing to un-hide, because it was never there. Blog: www.getgrist.com/blog/why-can...

Case in point. In 2017, a Boeing employee emailed a spreadsheet to his spouse for help formatting it. It carried the Social Security numbers and birth dates of 36,000 people, sitting in hidden columns. Hidden, not gone. One right-click away.

Credit to Microsoft: their own Excel docs come right out and say it. "Worksheet level protection is not intended as a security feature." Honest! Okay, but 1) do all end-users know password-protection isn't a real security feature? 2) What if you actually need worksheet-level protection?

Key point: the access rules live inside the app. Whoever owns the workflow sets them, and sees exactly what each teammate will see before sharing, with View As. No ticket to IT to change a rule buried in a database. So people stop dumping data into rogue spreadsheets.

If you haven't seen my posts on this: I think Grist is best-in-slot for vibe-coding little apps. Tl;dr, it's the file format. A .grist is elegant and coherent, and copying a whole app is as easy as ctrl+v (undo with ctrl+z).

Ask someone where their data lives and they'll never say "a spreadsheet." We treat spreadsheets like office supplies, and it's a security risk. It's how a fake CEO got a Seagate employee to email him 10,000 SSNs. In Grist, data's governed down to the field. www.getgrist.com/blog/why-can...

Why's it two seconds in Grist when it's a whole project everywhere else? The file format. Elsewhere it's a repo + DB + storage + auth to keep in sync. In Grist the app IS the file. Copy, version, restore, done. (!!) www.getgrist.com/blog/why-is-...

Okay, one more thing about why-Grist-is-bis^ for vibe-coding: I can copy a whole app by copying one file. Two seconds and I've got the data, views, logic, permissions. Made a mess (at least) once, rolled it back like a text edit. | ^ not a typo, it's for the nerds

Building apps in Grist feels like magic: describe it, minutes later I've got a working, deployed tool. Why so different from other vibe-coding? The file format. It just runs. Versioning? Snapshots? Copying? Swoon. 🎶 www.getgrist.com/blog/why-is-...

AI agents can read a database schema, but they don't know what it means, e.g. a status of 3 means "shipped." So they guess, write wrong SQL, and lose your trust. Epoch8 fixed it with a metadata layer in Grist. Co-founder Olga shows how, live July 24, 10am ET. www.getgrist.com/grist-epoch8...

With AI in the mix, anyone who can describe what they want can build it. Kanban. Gantt chart. Calendar. Presentation builder. And then share it with tens of thousands of people — like this full PM suite from nic01asFr.

I wanted "PowerPoint, but in Grist." The community had already built it. Grist is different from most open source projects b/c you don't have to touch the source code to contribute meaningfully. Custom widgets let you build any interface on top of Grist's data — without touching Grist itself.

And if you’re thinking, “But Anais, what do entry-level employees who do not yet have domain expertise do? How do we train them?” I don’t know! 😭 That nags at me too. And again, that isn’t a new problem, but AI did just make that existing problem worse.

The people who are great at AI right now are not the most technical people I know. They're the best communicators, delegators, and strategic thinkers.

2️⃣ AI rewards really, really good managers Working with AI well requires the same skills as being a good manager. You need to 👉 Convey context, set goals, and define "good enough." 👉 Provide constant feedback. 👉 Understand what's in their team member's head. 👉 Is not dogmatic about process.

Anais Concepcion @anaisconce.bsky.social · 10/03/2026
I need someone expert enough to know what we should be doing, how, and what's good enough. Why? Because by the time I've scoped the work, provided the context, and defined what "good" looks like — if I'm talking to Claude, then I'm most of the way to a draft.

Anais Concepcion @anaisconce.bsky.social · 10/03/2026
1️⃣ AI just made the bottleneck on leadership/thinking worse For an employee to be useful now, they cannot be waiting for tasks, they have to be creating tasks. This isn’t new, but it is worse now that AI has shortened the timeline from idea ➡️ draft ➡️ publish.

One of the goals is to make the full, 'enterprise' version become the default. In order for that to happen, it has to be used by a maximum number of people, while organizations who have the means to pay, do. Listen to the episode to hear the impact on other parts of the business, and our process.

Suggestions suggestions - Grist
A modern, open source spreadsheet that goes beyond the grid
000
Anais Concepcion @anaisconce.bsky.social · 11/02/2026
We didn't solve all the problems -- yet!! Suggestions works for documents without granular permissions. We want to make this feature genuinely useful by building in the open, and testing on real use cases. This is why I am looking for crowdsourced data, or any use case we have not yet considered.
100
Anais Concepcion @anaisconce.bsky.social · 11/02/2026
Because, um, given everything else Grist can do, we, uh, invented new technical problems. For example, how do you apply proposed changes to a spreadsheet with row- and column-level user permissions?
100
Anais Concepcion @anaisconce.bsky.social · 11/02/2026
Grist already had a foundation that made this possible: structured data, change tracking, and document forking. You can work on a copy, compare versions, and merge changes back into the original. Once you have that, suggestions are mostly a workflow problem, not a technical one. Emphasis on mostly.
100
Anais Concepcion @anaisconce.bsky.social · 11/02/2026
I am particularly proud of this feature, because the technical challenges of managing proposed changes in a spreadsheet are real. Formulas recalculate, changes cascade, dependencies get messy. Does an update to a formula include the recomputed values? How do you show this visually?

Looking for a cool crowdsourced dataset to test a new feature we recently shipped: suggestions. It's a way to propose changes to a spreadsheet without overwriting the original – something which has existed in document editors for years, but never made it to spreadsheets. More in 🧵👇
